Library Board of Trustees Meeting
Meeting Date: December 18, 2023

Joan opened the meeting at 9:30 a.m. She introduced Debra Eves, who has expressed interest in joining the Library Board and will make a decision.

The minutes for the November 20 meeting were read and corrected. Joan moved to accept the revised minutes and Greta seconded.

Old Business: We discussed the status of the Spectrum ISP proposal to the Town of Horicon. There’s been no word from the Town regarding this issue. It appears to be stalled. Approved

Treasurer’s Report: Greta distributed the treasurer’s report. We have $2,787 in our account. Vouchers 123 – 125 were signed and approved.

Director’s Report: Joan asked Kawana if the library’s ink supply is sufficient, especially with rising prices. Kawana said she has purchased sufficient ink to last for a while. She noted one new patron and said the Dungeons & Dragons is going well.
Kawana is working on developing a theme for a 2024 reading program and has applied for a grant. She distributed a list of potential grant sources. Debra and Sara offered to help Kawana with finding and writing grants. Sara will ask Trudy Walp about potential grant funding sources.
Adequate storage for books and documents is an issue. Kawana has a thumb drive that she can use for storing paper files. The Library has two staff and three public computers. Greta will work on the Google Drive account and access to its files. Joan noted that Trustee Education Activity Completion requires a minimum of two hours’ annually. Board members must submit certification forms from education activity providers or Self-Assurance forms. Trustees should retain a copy of each signed form.

New Business: Sara Mullins was approved for a 5-year appointment to the Town of Horicon Public Library Board of Trustees and a notification letter has been sent to the Town Board. The Chronicle was voted the Library’s official newspaper.

Lou Ann Guthrie’s performance review has been postponed until the January meeting because she is now in Florida.

The Friends group is conducting a bird house workshop for children and families in January.

New York State sets the Summer Reading Program theme each year.

Beginning in 2024, the Town of Horicon Library Board will undertake chapter reviews of the 2023 “Handbook for Library Trustees of New York State” as our required annual training. The first reading assignment, pages 1 – 8, is to be completed before our next meeting.

Next Meeting Date: Tuesday, January 16 at 9:30 a.m.
